We design and build SharePoint lists, forms, permissions, and workflows – directly in your Microsoft 365 tenant. Clean data structures, smart forms, and automated processes that replace the spreadsheets and email chains your team is still relying on.

SharePoint can do a lot more than you’re getting out of it.

Most teams use SharePoint as a basic file store or a clunky default list. With the right structure, forms, and automation, SharePoint becomes a proper business tool – connected to Power Apps, Power AutomatePower BI. The gap between what SharePoint can do and what most organisations get out of it is large, and it’s usually a configuration problem, not a tool problem.

Lists with no structure

Wrong column types, no validation rules, no consistent naming. Users enter free text where there should be a dropdown, leave required fields blank, and the data becomes too unreliable to report from. A list that starts messy gets messier over time.

Default forms that confuse users

The standard SharePoint form shows every field to every user in the order they were added. Required fields aren’t enforced, dropdowns are flat lists with no logic, and there’s no guidance on what goes where. The result is inconsistent data and frustrated users.

No automation

Status updates and notifications are handled manually – a reminder email here, a Teams message there. Nobody knows what’s changed without checking the list directly. Approvals live in inboxes with no audit trail. Nothing moves unless someone chases it.

What we deliver.

We work directly in your Microsoft 365 environment. No new tools, no external platforms, no data leaving your organisation. SharePoint is the backbone – we make it work properly.

Custom SharePoint Lists

A properly structured SharePoint list is the foundation of any working solution. We design and build lists that reflect how your team actually works – not just what SharePoint does out of the box. This typically includes:

  • Correct column types: choice, person, date, calculated, lookup – not just single-line text for everything
  • Validation rules that enforce data quality at the point of entry
  • Conditional required fields – only enforced when they apply
  • Multiple views tailored to different roles and use cases
  • Indexed columns for performance on larger lists
  • Column formatting and colour-coding to make status visible at a glance

Power Apps Form Replacement

The default SharePoint form can’t show or hide fields based on what the user selects. It can’t enforce conditional logic, guide the user through a multi-step process, or adapt based on role. Our Power Apps canvas form replacement can. Typical capabilities include:

  • Dynamic dropdowns that filter based on previous selections
  • Conditional field visibility – fields appear only when relevant
  • Guided multi-step input with validation at each step
  • Pre-populated fields based on user profile or previous entries
  • Mobile-friendly layout for field or remote teams

Permissions & Access Control

Permissions in SharePoint are powerful but easy to get wrong. We design and implement clean permission structures that give users access to what they need and nothing more. Typical scope includes:

  • Site, list, and library-level permissions aligned to your role structure
  • Microsoft 365 group and SharePoint group configuration
  • Item-level permissions where required (with careful attention to performance implications)
  • Visitor, member, and owner role assignment
  • External sharing configuration

Migration & Modernisation

Moving from legacy SharePoint, outdated lists, or spreadsheet-based processes to a clean, modern SharePoint Online setup. We handle the full migration including:

  • Field mapping from source to target structure
  • Data cleaning and transformation before import
  • Validation of migrated data against the source
  • Handling of special characters, date formats, and lookup dependencies
  • Migration from Excel, CSV, SharePoint on-premises, or SharePoint 2013/2016

How it works.

1. Discovery & Mapping

We review your existing setup, data structures, and requirements before writing a single line of configuration. We map out what needs to be built, migrated, or improved, identify dependencies, and agree on scope in writing before development starts.

2. Build

Lists, forms, permissions, and workflows are configured directly in your Microsoft 365 tenant. Where a staging area is available, we develop there first and promote to live only after your review. Weekly written status updates throughout.

3. UAT Management

We manage the full testing process – test case creation, execution coordination, defect tracking, and resolution. Your nominated contact reviews against agreed acceptance criteria. We fix any deviations from scope, you sign off.

4. Handover & Documentation

Full handover including list design documentation, form logic notes, permission structure summary, and any migration records. Includes 3 months of defect remediation after go-live. Ongoing support available as a retainer.

What our clients use us for.

A structured SharePoint list is the foundation of a corporate risk register – connected to a Power Apps smart form, Power BI dashboard, and Power Automate alerts. One of our most common engagements, covering 30–40 field-level configurations in a single list.

Project Tracking

A custom project list replacing a spreadsheet or generic task board. Typical setup includes owner assignment, RAG status with colour formatting, milestone dates, phase tracking, automated status change notifications, and a Power BI project portfolio view.

Asset & Inventory Register

Track equipment, software licences, physical assets, or IT hardware with a structured SharePoint list. Includes asset ID, location, owner, condition, warranty dates, and automated alerts for upcoming renewals or review dates.

HR & Onboarding Workflows

Structured onboarding checklists with task assignment, due dates, completion tracking, and automated notifications to managers when steps are overdue. Replaces shared Excel trackers and email chains.

Supplier & Vendor Register

Centralised supplier data with contract dates, owner assignment, approval status, document attachments, and automated renewal reminders. Often combined with a Power Apps form for supplier self-service updates.

Compliance Checklists

Structured compliance tracking with control owner, due date, evidence attachment, and automated escalation when deadlines are missed. Feeds directly into a Power BI compliance dashboard.

Transparent pricing.

We work on a Time & Material basis. You pay for days actually worked at a fixed day rate – no fixed-price guesswork, no hidden costs. If it takes fewer days than estimated, you pay less.

Why LeapLytics?

We work in your tenant

All development happens directly in your Microsoft 365 environment. No external tools, no data leaving your organisation, no new infrastructure to manage or pay for. Everything we build is yours and stays in your environment after handover.

SharePoint + Power Apps + Power Automate + Power BI

We don’t just build lists – we connect them. A SharePoint list is more useful when the form that feeds it is smart (Power Apps), the events it triggers are automated (Power Automate), and the data it holds is visible in a live dashboard (Power BI). We design and build the full stack.

Domain knowledge across industries

We’ve built SharePoint solutions for risk management, compliance, operations, finance, HR, and IT. We understand the business logic behind the data structures we build – not just the technical configuration. That means fewer iterations and a result that actually fits how your team works.

Frequently asked questions.

Do we need additional licences for SharePoint development?

No. SharePoint is included in all Microsoft 365 business and enterprise plans. Power Apps and Power Automate with standard SharePoint connectors are also included in most plans (Business Standard, E3, E5 and above). No additional licences are required for a typical SharePoint engagement. We confirm your entitlement before starting.

Can you work with our existing SharePoint environment?

Yes. We assess your current setup first and build around what you already have. We don’t require a clean-slate environment or a new SharePoint site. In most cases we improve and extend what’s already there.

Can you migrate data from spreadsheets or legacy SharePoint?

Yes. Data migration from Excel, CSV, or legacy SharePoint lists is part of our standard offering. We map your existing fields to the new structure, clean the data where needed, and import it with validation checks. You end up with clean, structured data from day one.

How long does a typical SharePoint project take?

A simple list redesign or form replacement typically takes 2–5 days. A larger project covering migrations, permissions across multiple sites, and several lists usually takes 6–12 days. We give you a written scope and estimate before starting so you know what to expect.

Do you work on-site?

All work is delivered remotely as standard from Germany. On-site visits can be arranged by mutual agreement – for example for kickoff or go-live sessions. Travel costs are invoiced at cost with prior written approval.

Can you also connect SharePoint to Power BI or Power Automate?

Yes – and we often do. A SharePoint list connected to a Power BI dashboard and automated with Power Automate flows is a common combination. We scope and build all three as a single engagement where needed.

Often combined with SharePoint.

Power Apps

Replace the default SharePoint form with a smart canvas app. Conditional logic, dynamic dropdowns, multi-step guided input, and mobile-ready layout. The most common addition to any SharePoint list build.

Power Automate

Automate notifications, approvals, and status updates triggered directly from your SharePoint list events. Status changes, new items, overdue dates – all handled automatically without anyone having to check the list manually.

Power BI Consulting

Turn your SharePoint list data into live dashboards and reports. Risk portfolios, project status, compliance tracking, asset registers – any structured SharePoint data can feed a Power BI dashboard.

Let’s sort out your SharePoint.

Tell us what you’re working with and what you need – we’ll come back with an indicative scope and estimate within 24 hours. No commitment required.
